Position Summary

Reporting to the Director of Collections and Exhibitions, and working closely with a second Assistant Exhibitions Project Manager and colleagues in Curatorial, Design, Registration, Publications, Communications, Interpretation, and Advancement, the Assistant Exhibitions Project Manager project manages multiple exhibitions each year (as assigned) from inception through implementation, taking an active role in every aspect of exhibition management and implementation. The Assistant Exhibitions Project Manager works closely with the second Assistant Exhibitions Project Manager to track and organize work plans for all Clark exhibitions. For all assigned exhibition projects, this position works in close coordination with the Director of Exhibitions and Collections to assist with management of budget tracking, exhibition contract(s) review and management, preparing final financial reporting on each exhibition, and assisting with indemnity and immunity from seizure application preparation and submission. This is a two-year, term-limit project position beginning in spring 2025.

Major Duties and Responsibilities (Essential Functions)
 

  • Acts as exhibition project manager for specific exhibitions as assigned, taking an active role in every aspect of exhibition management and implementation. As project manager, this position acts as the primary point of contact internally and externally for logistical information including managing internal and external deliverables, monitoring overall schedule and milestones, coordinating project meetings, identifying and tracking fabrication needs, making sure contractual obligations have been met following legal obligations as expressed in contracts, preparing, tracking and approving payments to Artists, vendors, and guest curators & designers, and undertaking other tasks depending upon the special needs of each project.
  • For assigned projects, coordinates creating, review, and revising drafts of exhibition contracts with organizational partners, exhibition venues, guest curators, and artists for the Director of Collections and Exhibitions, in coordination with curators, Senior and Exhibition Registrars, Design, Communications, Advancement, Director's Office, and other relevant departments, and helps coordinate, prepare, and submit Immunity from Judicial Seizure and Federal Indemnity applications.
  • Works with the Director of Collections and Exhibitions and the second Assistant Exhibitions Project Manager to oversee ongoing process of exhibition planning and protocols that effectively enhance division communication and effective workflows across the Clark. Works with Exhibition Design Manager and team to create and track exhibitions in HIVE (or other project management software).
  • Works with the Senior and Exhibitions Registrars, Design Manager, Prep, and Publications teams on exhibition and art fabrication logistics.
  • Coordinates travel arrangements and logistics (as needed) related to artists, fabricators, and guest curators for site visits, meetings, and opening events for assigned exhibitions.
  • Manages content related to assigned exhibitions on the Exhibitions drive, which includes preparing the Captions and Permissions document and coordinating, tracking, and communicating updates to the documents shared on the drive related to assigned exhibitions.
  • Acts as a resource for the Rights and Image Use Editor who tracks and communicates to other departments lender and artist permissions, restrictions, captions, credit lines, and other relevant requirements related to special exhibitions and permanent collection works still in artist copyright, ensuring legal obligations as expressed in contracts are followed.
  • Other duties as assigned.


Minimum Starting Hourly Rate: $28.00

Minimum Qualifications

Education, Training, and Skills
 

  • Bachelor’s degree required, or equivalent experience; Masters in Business Administration (or equivalent) preferred.


Work Experience
 

  • Minimum of 3 years relevant experience in exhibition project management and coordination preferred.

  • Physical Demands:
    • Ability to sit at a desk/workstation and use a computer for prolonged periods of time.

  • Work Environment: Work will be performed in an office environment and museum spaces. The noise level in the work environment is usually low to moderate.
