Duties and Responsibilities

Essential Duties and Responsibilities
The staff assistant is responsible for providing all secretarial support required by the College’s Community & Media Relations Office.

As an employee of Laredo College, you are expected to adhere to the LC Employee Handbook, the LC Local and Legal policies  (www.laredo.edu)  and the Vice President of Institutional Advancement’s (VPIA) expectations and protocols at all time.

In addition, a confidentiality agreement should be signed every year on NEOED.

Characteristic Duties and Responsibilities
1. Greets the public, provides typing, filing, data management, photocopying, and other clerical support. 
2. Maintains office calendars, distributes mail, schedules appointments and meeting, and alerts staff of deadlines.
3. Provides information and referral to the college staff and college visitors.
4. Maintains databases and collects information from college departments and units to assist in promoting the college services and programs. 
5. Receives and process departmental deliveries and ensures certificates of conformance are processed accordingly. 
6. Assists in the scheduling, tracking, and reporting of all Community and Media Relations Office service requests.
7. Performs computerized departmental bookkeeping by tracking all account expenses, preparing requisitions and providing periodic expenditure reports as requested. Additionally, the Staff Assistant must keep track of all purchase orders, certificates of conformance and other important documentation. 
8. Assists in the preparation of the annual budget documentation and other administrative functions.
9. Prepares correspondence, travel requests and other essential departmental paperwork.
10. Attends departmental meetings and prepares meeting agenda and minutes.
11. Schedules and supervises work-studies assigned to the department.
12. Provides support for special events and other special projects that department participates on.   
13. Performs other duties that support departmental needs as assigned by the Community & Media Relations Office Director. 

Qualifications/Certifications/Licenses/Skills

Required:

  • High school diploma or equivalent and three years of related experience and/ or training, or equivalent combination of education and experience.
  • Three years of related secretarial or clerical experience and/ or training, or equivalent combination of educational and experience.
  • Must have a valid Driver’s License and current car insurance to travel as required.  . In accordance with CJ (Local) while driving on College District business, employees are required to abide by all applicable laws, rules, regulations ordinances, policies, and procedures.
Preferred:

Knowledge, Skills and Abilities

1. A professional disposition is required at all times. 
2. Bilingual (English and Spanish) preferred. 
3. Strong customer service and community relations skills. 
4. Ability to use personal computer and various word processing and spreadsheet software programs which includes MS Office Suite, Zoom, TEAMS, One Drive, Google Drive and the internet to promote efficiency. 
5. Must be able to multi-task. 
6. Must be able to adapt and work well under pressure. 
7. Must be able to exercise good judgment, maintain a positive attitude, and work in a fast-paced environment. 
8. Must possess effective clerical and office secretarial skills such as filing, word processing, and must be able to use standard office equipment.

The Staff Assistant reports directly to the Community & Media Relations Office Director.
Physical Requirements
While performing the duties of this job, the employee is regularly required to sit.  
The employee is occasionally required to stand, walk, stoop, kneel, or crouch.  
The employee must occasionally lift and/or move items weighing up to 50 pounds.

Work Environment
Work is performed in a standard office environment.    
Work inside a well-lighted and air-conditioned area most of the time.  
The noise level in the work environment is usually quiet to moderate.

Special Conditions
Immediate supervisor may assign other duties.
