About the Role:

Works with general guidance with responsibilities to support Research & Development operations and administration (provide high-level administrative services to the Chief Research Officer, distinguished scholar and their teams).

Your Contributions (include, but are not limited to):

R&D Operations

  • Provide support to program leads to schedules meetings with internal personnel, as needed, to ensure cross-functional participation on the project teams

  • Support program teams in administrations tasks to create RFQs, RFPs, Statements of Work (SOW), and Supply Agreements to ensure documents are processed in a timely manner

  • May assist in contract administration activities such paying invoices, invoice reconciliation, change notices and amendments to SOWs, budget setting and impact review, and processing legal review of changes for external projects and studies are completed

Strategic Operations

  • Supports in-person and virtual meeting needs for members of the Therapeutic Area Scientific Advisory Boards (TASABS) and Board of Directors (BOD) SAB members including communications, scheduling, travel, dinners, contracts and payments

  • Interacts with the BOD administrator (currently Jane Sorensen or her designates) to support BOD meetings that involve the Science and Medical Technology Committee, including all functions requested by the BOD administrator and pre/post meeting follow-ups and dinners

  • Provides primary administrative support for the CSO and/or Distinguished Scholar for academic interactions including meetings, special events, philanthropy and educational/internship/fellows programs

  • Supports travel, reimbursements, scheduling, master calendar and related activities in support of the CSO and/or Distinguished Scholar

Admin

  • Provides complex, diverse and confidential administrative duties for executive and leadership team; may provide to the department overall as needed

  • Makes administrative decisions, handles correspondence, makes appointments and serves as a liaison internally to the team and externally to visitors, as required

  • Maintains calendars, schedules meetings, sends Outlook calendar appointments, reserves conference rooms, and coordinates logistics for meetings, including audio/visual needs, presentations, and food and beverage catering

  • Handles business, company, and personnel details of a highly confidential and sensitive nature

  • Coordinates, creates, edits and assembles slides for presentations and assists with collecting and effectively presenting executive-level information

  • Arranges company, department and group meetings (e.g., weekly Leadership Team meetings, staff meetings, periodic off-sites, including scientific advisory meetings) ensuring all necessary information is available for discussion; helps track department level projects, activities and results

  • Coordinates domestic and/or international travel arrangements

  • Compiles expense receipts, and completes and submits reports for expense reimbursements and credit card charge processing/validation to the accounting department

  • Support the creation and processing of agreements and records related to department's work

  • Orders and coordinates lunches for team meetings. Anticipates needs of executives and proactively plans, implements, and executes daily tasks

  • Performs all other job duties as assigned.

Requirements:
  • BA/BS degree and 2+ years of administrative experience supporting officers and/or executives of a company

  • Masters degree and some experience as noted above

  • Expertise working with senior level executives within and outside the company, as well as experience with customers, vendors, and other visitors

  • Requires extensive knowledge of calendar management, project meeting and event planning and execution, preparation of executive level presentations, travel and expense report administration

  • Strong written and verbal communication skills

  • Exercises discretion and judgment regarding highly confidential internal and external communications and materials

  • Adaptability to changing needs and situations

  • Excellent interpersonal and organizational abilities

  • Anticipate, identify, and resolve problems in a timely manner

  • Research, analyze, summarize, and report information in an effective manner

  • Demonstrate professional demeanor.

  • Proficiency in Microsoft Office Suite (Word, Excel, Powerpoint) and Adobe Professional.

  • Extreme attention to detail/accuracy and ability to work independently on a broad variety of projects

The hourly rate we reasonably expect to pay is $32.30-$46.87. Individual pay decisions depend on various factors, such as primary work location, complexity and responsibility of role, job duties/requirements, and relevant experience and skills. In addition, this position offers an annual bonus with a target of 20% of the earned base salary and eligibility to participate in our equity based long term incentive program. Benefits offered include a retirement savings plan (with company match), paid vacation, holiday and personal days, paid caregiver/parental and medical leave, and health benefits to include medical, prescription drug, dental and vision coverage in accordance with the terms and conditions of the applicable plans.
