Essential Job Duties

The Administrative Support Associate is the first point of contact for the College of Natural Resources Dean’s Office. This position works collaboratively with the Assistant Dean for Finance and Business, the Associate Dean for College Culture and Community, and the Dean’s Executive Assistant. This position is responsible for providing administrative support to the Dean’s Office faculty and staff, in addition to the following administrative duties:

Office Duties:
  • Manage the reception area within the Dean’s Office by assisting visitors, answering the main phone line for CNR inquiries, and processing incoming/outgoing requests.
  • Serve as the lead contact for processing general office requests for the Dean’s Office faculty and staff.
  • Manage mail distribution by assisting with sending and receiving parcel and package requests and redistribution as necessary.
  • Coordinate scheduling of meetings for the Assistant Dean for Finance and Business.
  • Manage the Dean’s Office conference room calendars and process reservation requests.
  • Serve as the liaison between the faculty, staff, and students for administrative requests, building maintenance requests, and key assignments.
  • Serve as the primary travel coordinator for the Dean, including processing Travel Authorizations, Travel Reimbursements, and Travel Reimbursements for Dean’s Office visitors.
  • Assist Dean’s Office faculty and staff with travel requests.
  • Assist with administrative support to the Dean, the Dean’s Executive Assistant, the Assistant Dean for Finance and Business, and other faculty and staff within the Dean’s Office.
  • Serve as initial contact and reviewer of some forms needing the Dean’s approval, reviewing for accuracy and compliance.
  • Assist with editing the Business Services website or Internal Resources website as needed.

Financial Responsibilities:
  • Serve as the primary PCard coordinator for the Dean, including managing and uploading receipts and completing the forms and approvals necessary.
  • Purchase supplies and materials for the Dean’s Office faculty and staff through Marketplace and PCard.
  • Collect deposits from departments and units within the college, reviewing deposits for accuracy and compliance.
  • Assist the Assistant Dean for Finance and Business by initiating Vouchers and Journal Vouchers as needed.
  • Assist with budget monitoring and reconciliation duties as assigned by the Assistant Dean for Finance and Business.

College Culture and Community Office Duties
  • Assist with administrative support to the Associate Dean for for College Culture and Community
  • Assist with the coordination of the Associate Dean’s calendar by scheduling meetings and event times and coordinating virtual meetings
  • Assist with processing voucher payments, honorarium payments, invoices, budget monitoring, and other financial-related requests as needed

Other duties and Miscellaneous:
  • Perform other duties as assigned, including special projects

Minimum Experience/Education

High School Diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.

  • Working knowledge of Microsoft Office and Google Suite applications
  • Excellent oral and written communication skills
