EMPLOYMENT TYPE: Full-Time

SCHEDULE:
DESCRIPTION: The Accounting Specialist reports directly to the Controller and works in concert with finance area staff members and other college department personnel. The Accounting Specialist is responsible for regular recording, maintenance and reporting of various accounting transactions which are governed by generally accepted accounting principles, state and federal laws and regulations, and college policies. Responsibilities to include: generating vouchers, verifying G/L account numbers, verifying calculations and authorizations, facilitating bank systems processing, assist with processing 1099's and other forms/reports, and providing assistance in Student Accounts with receipts and disbursements.

DUTIES AND RESPONSIBILITIES:

  1. Review, audit and process vendor payments. (Accounts Payable) Set up and generate vouchers and new vendors.

  2. Verifies the accuracy of completed forms and vouchers for correct G/L account numbers, calculations, and authorizations.

  3. Maintain voucher files for all college budgets. Includes scanning, indexing, and filing vouchers.

  4. Provide assistance with policies and procedures to faculty and staff regarding invoices, travel and vehicle use; assist in maintaining vehicle fleet records and reporting, and other related accounting issues.

  5. Check invoice and voucher status and provide information to both vendors and employees as needed.

  6. Verify accuracy of vendor statements and maintain statement files.

  7. Assist with 1099's and performs related responsibilities as required or assigned. Maintaining W-9's requests and related reports.

  8. Scan various documents into digital archive. Includes journal entries, W-9's, related organizations, and provide assistance for Purchasing and Payroll as needed.

  9. Train and supervise work-study students, when applicable.

Perform any other related duties as required or assigned.

EDUCATION AND EXPERIENCE:
The formal education equivalent of a high school diploma; plus two years of bookkeeping, basic accounting, billing, or related experience. Associate or bachelor’s degree in accounting or business preferred but not required.
General experience : At least 2 years related experience and/or training expected.
