Summary of Position

Working under the direction of the Director of Operations, the Assistant Director of Operations helps manage, verify and support the functions of the UNH Undergraduate operations application process from the point of student inquiry through matriculation.

The primary mission of the Assistant Director of Operations is to ensure an efficient, seamless application and admissions document processing workflow. Duties include overseeing business processes related to direct admission and international admissions, including the setup and oversight of workflows to support these initiatives. The Assistant Director also contributes to the department’s standard workflow, including the pre-evaluation of college transcripts, maintenance of admissions checklists, evaluation and posting of Advanced Placement and college credit to freshman records, maintaining/updating catalogs and transfer credit equivalencies, production of credit evaluations, management of daily prospective student and admissions counselor inquiries and the development of reporting protocols in Slate to facilitate the routine checking of admissions data.

Technology used in processing applications includes SLATE, Axiom, PL/SQL, Web and Full client Xtender, Common Application, Workday, Ellucian Banner, Banner Webcat, Degree Works, WinSCP, Transfer Webadmit, Coalition, Microsoft Office Suite.

Other minimum qualifications

  • 3-5 years of computer related and workflow management experience, or a bachelor’s degree and 2 years computer and workflow management experience.
  • Data processing experience required. Experience working in a student information system (ex. Banner, Workday) and/or CRM (ex. Slate) is preferable.
  • Knowledge of admissions workflows and processes desired.
  • Experience utilizing Document Imaging tools (ex. Full Client, Web Xtender, Laserfiche) to create and manage batches of documents received electronically or mailed from various agencies.
  • Must respond positively to change, embrace new practices to adapt for the purposes of accomplishing changing business practices.
  • Excellent organizational and analytical skills, plus a strong systems orientation and attention to detail are required.
  • Superior written and oral communication skills, strong interpersonal skills, as well as the ability to communicate effectively with both non-technical users and highly technical staff, are required.
  • Customer service orientation required.
  • Able to organize, prioritize, and manage time and workload effectively with an ability to manage multiple tasks and complete projects on time.
  • Must be confident in his/her ability to work and make decisions independently, as well as work collaboratively within a team.
  • Experience working in Higher Education Admissions Operations preferable.
  • Some evening and weekend work required.

Duty/Responsibility

  • Manage the Common Application portal and help design the first year and transfer application for new year.
  • Manage the weekly assignment schedule for the operations staff.
  • Manage the Pre-evaluation of transcripts – Utilize the transfer database and BANNER SHATATR, to screen the transcript courses for currently used equivalencies, and marking only those that need the attention of the operations and transfer team.
  • Manage process for updating SOAPCOL with prior college information
  • Manage process for checking for current college course work, validating which term, the student is applying for and adding the appropriate checklist items that corresponds with either fall or spring term.
  • Manage prioritization of e-alpha process.
  • Manage TM assignments for international transfer applicants
  • Manage prioritization process by for indexing documents that come through the mail and updating BANNER accordingly.
  • Manage the process for accurately entering first year and transfer decisions
  • Manage day-to-day processing of inquiries from students requesting changes such as change of major and change of address.
  • Develop comprehensive documentation for transfer credit processing
  • Develop, test and utilize Common Application and other application platforms for applicants
  • Contribute to the continuous development of Slate CRM to implement workflow improvements.
  • Contribute to the development of SSD/Axiom changes to verify application uploads to Banner ·
  • Assist with the creation and development of comprehensive test plans to ensure Banner student upgrades and all associated (axiom, workflow, etc.) are tested and implemented properly.
  • Ensure integrity of data by monitoring, interpreting and creating timely solutions for daily application data loads to Banner/Slate
  • Assist with the development of project plans for offices continued migration to technical changes in processing of applications, documents and data.
  • Provide training for how to create and articulate course evaluations in SHATAEQ

Duty/Responsibility

  • Manage various WEBI reports to coordinate outreach
  • Collaborate with the Transfer Admissions Team to develop best practices for evaluating Application Data
  • Collaborate with Transfer Admissions Team and research opportunities to leverage Degree Works to encourage yield
  • Collaborate with Registrar’s Office and Transfer Admissions Team to maintain and update catalog equivalencies for transfer credits from other colleges and universities, including the NH college catalog equivalencies to top ten feeders
  • Collaborate with the Registrar’s Office and College Division’s to establish consistency in procedures between offices.

  • Provide leadership, support and guidance to the entire operations team
  • Directly supervise two professional staff members
  • Support the Director of Operations and provide cover as needed
  • Develop and maintain documentation for always changing complex operational procedures
  • Assist with hiring and training of new staff members.
