Job Summary
This recruitment will be used to fill up to two full-time Accountant 1 positions for the Accounts Payable and Travel department at Oregon State University (OSU).

The Travel and Expense (T+E) Accountant is a member of the Controller’s Unit within the Division of Finance & Administration. This position plays a critical role in providing Travel and Expense support to campus units and is responsible for timely review of expense reports, conducting end user training, and participating in post transaction monitoring programs.
The position requires substantial review and analysis of non-prescriptive, situational, accounting issues and problems. Analysis will often require phone conversations and email correspondence with staff and faculty and may require significant research.

Key Responsibilities
40% TRAVEL & EXPENSE PROGRAM SUPPORT
Provide support to assigned colleges and divisions. Common areas of support provided includes:
  • Booking Travel
  • Travel & Expense Policy
  • Creating Expense Reports
  • Pre-travel approval
  • International travel health and safety
  • Non-employee reimbursements

 

 
Engage in solutions to customer problems, ensuring satisfaction with OSU Travel and Expense Program. Partner with other Travel and Expense Office staff members in providing comprehensive just in time training to campus community.
35% EXPENSE REPORT REVIEW & MONITORING
Review specific expense reports submitted through OSU’s Travel and Expense system, SAP Concur, that are flagged for review prior to payment. Approve expense reports ensuring University Policy, Fiscal Policy, as well as applicable Government Regulations are followed. Return expense reports for correction, when necessary, if they are not in alignment with policy and best practices.
Post transaction monitoring of expense reports submitted through OSU’s Travel and Expense System, SAP Concur, and flagged for review in OSU’s Auditing Tool, Concur Detect by Oversight. Monitoring and audit work may include corrections, recommending edits to system audit rules, communicating, gathering additional documentation and training end users on areas of policy non-compliance, reporting out to leadership common trends, escalating potential fraud.
15% NON-EMPLOYEE REIMBURSEMENTS
Review non-employee reimbursement forms for accuracy and compliance with university policy. Work with non-employee, department contacts, and unit budget authority to capture necessary documentation and approvals.
10% OTHER DUTIES AS ASSIGNED
Additional duties such as participating in team meetings, providing customer service through training and explanation of rules, policy, and procedure. Providing ad-hoc support for fiscal year end close, external, and internal audits, as well as other seasonal responsibilities that the Accounts Payable & Travel Office is responsible for.

What We Require

Bachelor’s degree with CPA or PA certificate;

OR
Bachelor’s degree with 30 quarter (20 semester) hours of college-level Accounting;

OR
30 quarter (20 semester) hours of Accounting courses and three years of Accounting experience*

  • Accounting experience must include at least 3 of the following:
Preparing transactions to be recorded in records of original entry;
Preparing journal entries, posting from journals to general ledger, or preparing original general ledger entries;
Summarizing data from a ledger to a trial balance;
Closing accounts at the end of an accounting period;
Applying PC spreadsheet, database, and word processing software; Processing data using a computer.

Transcripts must be submitted for all required and/or related courses. All courses must be from accredited colleges, universities, or private vocational schools.


What You Will Need
  • Experience providing front line customer service in an office setting, which includes providing professional communication in writing, on the phone and in person.
  • Ability to work on assignments independently and in a team setting.
  • Excellent written and verbal communication skills with a diverse audience.
  • Experience in Excel, Word, Outlook; or equivalent.
  • Demonstrable commitment to foster an inclusive and collaborative environment for staff, customers, and campus community.

 

 
This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.
