Overview

Patient reported data (PRD) is data reported directly by patients through electronic questionnaires administered before or between visits to Dana-Farber.  Since 2014, the Patient Reported Data (PRD) Program within the DFCI Department of Quality and Patient Safety has successfully embedded 14 electronic questionnaires into the Epic Electronic Health Record system, capturing vital patient-reported outcomes as well as comprehensive intake and screening information to enhance care.  The PRD Program drives implementation and supports the use of PRD across the Institute.   

Recent studies have demonstrated that patient-reported data fosters better communication and symptom-related discussions between patients and clinicians, helps identify patients at higher risk for worse treatment response, and leads to higher patient satisfaction, reduced hospital visits, prolonged treatment adherence, and notably, improved survival rates. 

Reporting to the Associate Director for Patient Reported Data, the Program Manager, PRD Engagement will lead and ensure the success of patient, staff, and clinician engagement efforts regarding patient-reported data questionnaires and responses.  This role is focused on reinforcing the value of patient-reported data in patient care by ensuring questionnaire data is reported and used effectively and efficiently.  Responsibilities will include working with staff, clinicians, and patients to design and implement programs that remove barriers and increase engagement to using PRD.   Work will include measurement of results, documentation, training, and communication with Dana-Farber patients, clinicians, staff and leadership.  The Program Manager, PRD Engagement will demonstrate expertise in working directly with patients and clinicians in a professional manner, aiming for approaches that are sensitive to the needs of a culturally diverse patient population as well as busy clinicians.  This professional will work alongside the other PRD team members, specifically project and program management professionals, information systems specialists, business analysts, and a data scientist.

This position’s work location is hybrid with two or three days per week remote. The selected candidate may only work remote days from a New England state (ME, VT, NH, MA, CT, RI). 

Responsibilities

Under the direct supervision of the Associate Director, PRD, the Program Manager, PRD Engagement will:

  • Take initiative to lead efforts to assess barriers and incentives, and to design programs to improve patient and clinician engagement in reporting and using patient-reported data.
  • Conduct outreach activities to patients to promote equitable access to and build engagement with patient-reported data questionnaires including but not limited to telephone calls, emails, and patient portal messages. Communication may include addressing patient questions about the program and routing medical inquiries to their care team as needed. These duties also involve building relationships with the DFCI Patient and Family Advisory Councils and other patient advocates to inform engagement activities.
  • Actively build and maintain relationships with clinicians including oncologists, nurses, and other care team members to support continued engagement with patient reported data. This includes maintaining an active presence in clinics, attending meetings with clinical staff, and email correspondence. Duties include understanding clinical workflows and use of Epic, best practices, and other aspects of the patient-clinician relationship.
  • Engage with front-line clinical staff, administrative staff, Epic experts, and others to implement and/or support intervention initiatives.
  • Specific activities may include but are not limited to:
    • Building subject matter expertise on patient-reported data, including a comprehensive understanding of the DFCI PRD Program’s operations and questionnaire portfolio and knowledge of best practices for building patient and clinician engagement with PRD.
    • Conducting external research/fact-finding as well as interviews and/or surveys with clinicians, staff and/or patients to understand barriers and facilitators and identify practical solutions to using patient-reported data
    • Conducting training/education sessions to support the use of patient-reported data
    • Developing, distributing and modifying print and web-based educational materials including having materials translated by a third party if needed.
    • Tracking metrics and outcomes through dashboards and other mechanisms to evaluate the impact of engagement improvement efforts.
    • Contributing to PRD program communications & newsletters
  • Other duties as required

Qualifications

  • Bachelor’s degree in a health-related field
  • 3 or more years working directly with patients and clinicians in a clinical setting. Academic medicine and/or oncology preferred.
  • Experience using electronic health records (e.g., Epic)
  • Experience in a training, communication or outreach role

  • Knowledge of clinical information systems and hospital operations

  • Outstanding organizational skills and service orientation with a keen attention to detail
  • Strong PC skills, including Microsoft Excel, PowerPoint, Outlook, Teams, SharePoint
  • Ability to effectively conduct meetings and to lead and facilitate working sessions, both formal and informal
  • Ability to collaborate, build relationships and influence individuals at all levels in a matrix-management environment
  • Proven ability to interact with physicians, nurses and patients confidently and effectively to elicit information and carry out objectives.
  • Deal well with uncertainty and ambiguity; flexible with changes in prioritization and approach

  • Travel to DFCI regional campuses in addition to the Longwood main campus required.

SPECIAL WORKING CONDITIONS:  This is a hybrid position that flexes between 1-3 days/week on site depending on work and stakeholders. Must be able to provide adequate transportation between work locations, including DFCI regional campuses.
