Job Description

The Assistant Director of Visitor Services plays a key role in shaping the first impression of prospective students and their families by overseeing the management of campus visits and events within the admissions office. This position involves leadership, coordination, and collaboration to ensure an exceptional and informative experience for all visitors.

 

This role requires a dynamic individual with strong leadership skills, excellent communication abilities, and a passion for creating a positive and welcoming environment for prospective students and their families. The Assistant Director of Visitor Services will contribute significantly to the college's overall recruitment efforts and help shape a positive perception of the institution.

  1. Plan and manage daily campus tour experience, Group Tour visits, and specialized tours- which includes; student staff coordination, event tracking through Salesforce CRM, post attendance data collection and campus logistics (as needed).
  2. Work in conjunction with the Admissions Leadership team in major event execution for recruitment and yield events on campus, virtual and various off campus opportunities to ensure these events meet high standards, this would include Open Houses, Admitted Student Days and other events.
  3. Coordinate all aspects of event logistics that includes but is not limited to: Room reservations, set-ups; Staff schedules; Catering Needs; Media Needs; Coordinate event volunteers; Faculty participation; Department participation; Marketing needs; Campus Signage; Parking Needs.
  4. Management of all registrant communication for on campus, virtual and various off campus events.
  5. Engage frequently with prospective students and other key stakeholders through all engagement opportunities both in person and remotely/virtually.
  6. Co-Coordinate and manage the student ambassador program (tour guides) and admissions front desk student employees, which includes providing training, guidance, and support to ensure team members are well-equipped to assist visitors effectively.
  7. Develop and implement strategies to ensure a welcoming and informative atmosphere during campus visits.
  8. Ensure accurate and up-to-date information is provided to visitors regarding admission requirements, academic programs, and campus life.
  9. Assist Admissions Leadership and counseling staff in day-to-day responsibilities as needed; including limited recruitment travel, application review, data collection and special project assignments.
  10. Demonstrates sensitivity to students, faculty, and staff of varying racial, ethnic, religious, gender, cultural, disability, sexual orientation and socioeconomic backgrounds and sensitivity to students with a diversity of learning styles.
  11. Serves as a role model and mentor for students as appropriate.
  12. Other duties as assigned.

Required Qualifications:

  • Bachelor's degree  
  • 3-5 years of experience in higher education, preferably in admissions
  • Must possess a valid driver's license 

Preferred Qualifications:

  • Master’s degree in Marketing, Communications, Higher Education Administration, or a related discipline
  • Experience with Salesforce CRM
  • Exceptional organizational and communication skills
  • Ability to speak another language, preferably Spanish

Working Conditions:

This is an on-site position with on-campus, in-person responsibilities in Salem, MA which requires consistent on-campus availability, including some nights and weekends during peak periods.

 

Office activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and interaction with computer equipment; occasional bending, reaching, lifting, pushing and pulling up to 5-10 pounds.
