Who We Are

 

Located in the scenic Puget Sound area with nearby mountain ranges and Mount Rainier in the distance, Tacoma is surrounded by outdoor recreational opportunities such as hiking, boating and camping. Tacoma Community College (TCC) was built on the ancestral territory of Coast Salish peoples, specifically the Puyallup and Squaxin Island Tribes. The 1854 Medicine Creek Treaty forcibly removed them to Reservations to make way for colonizers; we recognize the privilege of utilizing this land has come at a great cost. We honor the resilience of the Puyallup and Squaxin Island people, who still live here, defend their rights, and contribute greatly to the well-being of our community. Our institution aims to increase partnerships and community ties with the local indigenous populations. Position Summary:
The Enrollment Services Program Specialist 2 plays a crucial role in ensuring the smooth processing of transfer transcripts for all Tacoma Community College (TCC) students. This position also assist with evaluating and processing degree and certificate applications, facilitating student data management for TCC's Commencement ceremony, and serving as a subject matter expert to support TCC's Curriculum Committee, faculty, and staff. This position is part of the credential evaluator team within Enrollment Services. The Program Specialist 2 acts as a key liaison between programs, students, and advisors, offering guidance to ensure students meet their degree requirements and excel in their chosen programs.

 

Essential Functions

 

  • Process Incoming Transcripts: Process incoming transcripts from transfer institutions and review them to determine transfer credit eligibility.
  • Maintain Student Records: Maintain accurate records of completed degree, certificate, and high school diploma applications, as well as records of withdrawn applications for future reference.
  • Review Transcripts: Review TCC transcripts for course repeats and non-college level courses, and process repeats accordingly.
  • Evaluate Transfer Credit for Graduation: Evaluate transfer credits needed to fulfill degree requirements. Calculate Degree GPA which includes TCC credit plus transfer credit.
  • Review and Interpret State Degree Requirements: Thoroughly review and interpret state degree requirements to ensure compliance and accuracy in determining student eligibility for degrees and certificates.
  • Maintain Transfer Equivalency Guide: Maintain transfer equivalency rules in ctcLink for public view.
  • Maintain Academic Advisement Reports: Create exceptions, directives and substitutions within AAR’s to track degree requirements. Communicate effectively with staff and students regarding missing graduation requirements.
  • Customer Service: Answer department email inbox and meet with current students via appointments to review transfer and graduation inquires.
  • Graduation Processing: Determine whether requirements for graduation are met. If so, post the degree for students not currently enrolled or provide preliminary results for currently enrolled students, completing processing after current grades are posted. If requirements are not met, communicate with students and advisors/program chairs and provide guidance on the petition process as necessary.
  • Process Degree/Certificate Applications: Receive and process degree and certificate graduation applications. Supports the duplicate diploma order process.
  • Participate in Commencement and Planning: Attend and actively participate in meetings with the Commencement Committee to contribute to the planning of the graduation ceremony.
  • Serve as Subject Matter Expert (SME): Act as a resource to the Curriculum Committee regarding changes to course requirements and provide expertise on state-wide policies related to degree requirements, transfer credits, and course equivalencies.

Minimum Qualifications
  • Bachelors degree from an accredited college or university OR an Associates degree and two years of professional experience.
  • OR equivalent education and experience.
  • Experience working with diverse populations.
  • Experience working effectively in an education or social service delivery setting.
  • Excellent oral and written skills.
  • Experience using Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
Preferred Qualifications
  • Experience with large scale databases.

Terms of Employment
This is a full-time overtime-eligible classified position scheduled to work Monday through Friday, 8:00 am – 5:00 pm during the academic year. Summer schedule is Monday - Thursday 7am-5:30pm. Work location is the TCC main campus. The salary range for this position is $3,619 - 4,723 monthly, starting July 1, 2024 the salary range will be $3,558 - $4,740 monthly. Flexibility in scheduling is required to meet the needs of the division.
