C09 - Contract Employee -Advancement- Events Assistant - AY 2024

Job Description

The Advancement Events Assistant works under the direction of the Associate Director of Advancement Events and is responsible for coordinating and managing assigned projects related to the planning and execution of advancement events. Duties may include but are not limited to: ticket and RSVP management, student project oversight, administrative support, event logistics management as assigned, space reservations for events, vendor ordering and payment, create and manage timleines for event marketing inlcuding invitations, emails, social media, and websites. Event mailing preparations, answering phones for the advancement office, and other projects as assigned.  Assist in management of on site event logistics inlcuding set up, registrtion, and breakdowns with vendors. Night and weekend work may be required as the event schedule dictates, daily office hours may be adjusted to accommodate those needs.

  2. Strong organizational skills and working with multiple teams within the University.
  3. Proficiency in customer service and in interpersonal and organizational communication.
  4. Good judgment and effective decision-making and problem resolution skills, including skill to recognize and deal effectively and appropriately with real and potential problem areas, including skill to determine the issues/problems that need to be brought to the attention of higher-level staff and/or management.
  5. Ability to work independently or as part of a team when required
  6. Self-starter with the ability to be proactive and set priorities in a fast-paced environment.
  7. Knowledge, skill and abilities in special events area, and interactions with vendors and the public.
  8. Knowledge of database management and spreadsheet applications in conformity with standardized software.
  9. Ability to write concisely, to express thoughts clearly and to develop ideas in logical sequence.
  10. Ability to maintain confidential information and material is critically important

  • Preferred Qualifications:

    • Bachelor's Degree preferably in communications, events or related field.

    Knowledge of Raisers’ Edge and ticketing databases 

    Previous work in events

    Previous experience in the management of volunteers

    Previous public speaking experience

This is a in person position with on-campus, in-person responsibilities which may require ocasional/frequent/regular work on evenings and weekends.
