Executive Assistant

Challenger Center is a not-for-profit 501(c)(3) organization that inspires, engages, and prepares today’s students for the future through innovative K-12 science, technology, engineering, and math (STEM) education programs. With our global network of Challenger Learning Centers, we give more than 250,000 students each year the opportunity to become scientists, engineers, and innovators and to work together on inspiring missions like finding life on Mars or preserving ocean species. Through our programs, students apply STEM concepts in the context of real-world challenges; they are exposed to a range of STEM careers, and they practice important skills like teamwork, communication, and problem-solving.

As the energetic Executive Assistant to the President and CEO, you must be a detail-oriented professional with a can-do attitude committed to excellence. You will proactively manage the President and CEO's office, ensuring successful interactions with the Board, partners, and stakeholders. Your responsibilities will include supporting the Senior Leadership team and various departments crucial to the organization's success. Join us in driving Challenger Center's mission!

To thrive, you should have:

  • Experienced in diverse administrative tasks, working independently.
  • Ability to interact professionally under pressure, maintaining flexibility and confidentiality.
  • Well-organized and prepared to support a small office.
  • Experience in producing accurate meeting minutes.
  • Expert communication skills with attention to detail.
  • Proficient in Microsoft Office Suite and document control.
  • Bachelor’s degree required; five years equivalent experience preferred. Work with various partners and vendors on projects

Your responsibilities as the Executive Assistant are:

  • Collaborate closely with the President and CEO to ensure office priorities are met.
  • Handle sensitive material with discretion and confidentiality.
  • Prioritize and manage multiple projects simultaneously.
  • Represent the office with internal and external stakeholders, coordinating executive meetings.
  • Proactively manage calendars, scheduling, and travel for the President and CEO, Senior Leadership team, and Board of Directors.
  • Screen and manage incoming communications for the President and CEO.
  • Serve as Secretary of the Board of Directors, managing meetings, minutes, and communication.
  • Plan logistics for board meetings and events, ensuring compliance with processes.
  • Coordinate special events and assist in onboarding new staff.
  • Manage expense reports, reimbursement, and annual budgets for the office.
  • Oversee day-to-day office operations, including liaising with building management and maintaining supplies.
