Job Description

The Assistant Director of Admissions – Educational Financial Planner (ADA-EFP) is a key contributor to student recruitment and student experience. The ADA-FFP is responsible for leading all incoming new students through the financial aid process. This role is vital in assisting students on their financial journey as they start their academic pursuits. The ADA-FFP responsibilities include meeting with prospective students and families during visits and up through finalizing financial plans prior to move-in. The ADA-EFP will work in collaboration with admissions staff, financial aid staff, and other university stakeholders to ensure students are financially confident in their choice to attend William Woods University.

 

 

Essential Duties and Responsibilities:

 

  • Be knowledgeable about William Woods University by having a thorough understanding of all University programs and mission with an emphasis on first-year undergraduate residential students.
  • Assist with marketing for first year students.
  • Assist with special events held on campus or in the field.
  • Meet with prospective students and families during individual visits, providing information regarding financial aid, scholarships, institutional balances, and options for covering any remaining balance.
  • Present to audiences during large group visits on topics such as scholarship, financial aid, the FAFSA, options to consider when paying for school.
  • Organize and implement a financial clearance process to ensure most, if not all, students have completed necessary paperwork and either have an identified pathway to fulfilling financial obligations or have done so prior to move-in.
  • Remain engaged with students throughout their college experience.
  • Collaborate with cross-functional teams to verify and process billing adjustments submitted by various departments.
  • Uphold the confidentiality of student financial information and maintain meticulous records for audits and compliance purposes.
  • Work with and build relationships with high school community members and community organizations to help build and strengthen undergraduate recruitment to William Woods University.
  • Develop, analyze, and disseminate thorough reports, tracking the progress and status of prospective students through their financial journey within our CRM.
  • Maintain & document all call, email, text & other interactions with prospects/applicants/students according to departmental procedures in the CRM (and/or other applicable databases).
  • Navigate online portals.
  • Fulfill additional responsibilities as assigned.
  • Evening and weekend hours will be required.

 

Position Requirements:

  • A bachelor’s degree is required.
  • Experience in sales, marketing, or public relations is preferred.
  • Knowledge and understanding of Federal Aid and the FAFSA.
  • Must be able to communicate and interact effectively with people.
  • Must perform as a team player.
  • Must meet tight deadlines while working with frequent interruptions.
  • Must be enthusiastic, self-motivated and self-disciplined.
  • Must be organized, flexible and creative; maintain attention to detail.
  • Proficiency in using computer software, including Microsoft Office (Word, Excel).
  • Experience in CRMs and SIS to manage student accounts and generate reports.

o Salesforce (CRM) and Jenzabar (SIS) are preferred.

 

 

Typical Physical Demands:

  • Ability to lift, push or pull up to 20 pounds.
  • Ability to sit or stand for long periods.
  • Ability to speak and read English fluently.
  • Ability to hear.
  • Ability to travel.
  • Must possess a valid Missouri driver’s license and adhere to the WWU vehicle policy.

 

 

Work Schedule:

This is a full-time, exempt position requiring 40+ hours per week and may require limited travel. Some evening and weekend work is required.
